While these may not be our most current policies, this is a good sample of what is expected and what you will sign/abide by when renting from Hocking Lodging Company. We take great pride in providing the cleanest, coziest, & most unique experience in the Hocking Hills area. Our office is available from 9:00am to 9:00pm seven days a week. We are available after-hours for emergencies only (plumbing and heating issues). You may reach our office at 614-226-2757 or 614-352-9495.
You must be at least 28 years old to rent Hidden Lake Lodge, Aspen Hollow Lodge, or Dogwood Manor and 25 to rent Black Bear Hideaway. Please be ready to provide a copy of driver's license or state-issued i.d to verify age.
For all reservations, a 50% upfront deposit by Check, Visa, MasterCard, or Discover is required to confirm. The remaining 50% balance will be due 30 days prior to your stay.
New rentals may be required to pay a security deposit in full 1 month prior to rental. This amount will be discussed over the phone and can range anywhere from $500-$1500 depending on the lodge/length of stay. It must be paid by check before your stay and will be refunded one week after the stay as long as our rental policies have been explicitly followed.
If your arrival is within 30 days of booking, the full amount + security deposit will be due when making your reservation.
Hocking Lodging Company may use any funds received from guests immediately upon receipt of such funds.
Reservations that are changed 2+ times are subject to a $25.00 reservation change fee.
METHODS OF PAYMENT:
Hocking Lodging Company accepts personal checks, money orders, official checks, Visa, MasterCard, and Discover for our rentals. An active credit card is required at the time of reservation which will be kept on file for any damages/excessive clean up around the property.
If you cancel prior to 30 days of reservation date, we will be happy to refund any fees that have been collected for your stay, less a $100 administration/booking charge.
If cancellation occurs within 30 days prior to your arrival, a refund will not be given on the 50% deposit made at time of reservation. Please understand that we will have to do everything we can to re-rent the property within a very short amount of time.
It is the renter's responsibility to know their obligations when booking with third party outside travel agencies (OTAs). The rest of this document is pertinent for you to understand, sign, and return.
MINIMUM STAY REQUIREMENT:
There is a 2-night minimum stay requirement for rentals on weekends and a 3-night minimum stay may apply on holidays. See the “holiday list” section below.
The following holidays are subject to Peak Season Cabin Rental Rates and require a 3-night minimum stay. Check-ins may not be permitted on the actual day of the holiday. Please call for all holiday rates and confirm 3-night stay requirements. Other holiday restrictions may apply.
Presidents’ Day, Memorial Day, Independence Day, Labor Day, Thanksgiving, Christmas, New Years Eve/Day.
No refunds will be given due to weather conditions or for early departures.
We recommend 4-wheel drive especially for the winter season, and carpooling if possible. Our parking area surrounding the lodges can accommodate approximately 8 vehicles.
Your unit will be inspected and maintained prior to your arrival. Hocking Lodging Company will not issue refunds in the event of mechanical failure(s), power outage(s), absence/unexpected unavailability of usage of any item(s), hot tub issue(s), nor for any utility problem(s).
No student groups, house parties, or receptions are allowed at any of the units. If guests are found to be having a party, they will be asked to vacate the unit and no refund will be given. No unauthorized guests may visit our locations. Our septic tank, well, and parking areas allow for only up to 18 guests at Hidden Lake Lodge & Aspen Hollow Lodge, 20 at Dogwood Manor, and 14 at Black Bear Hideaway.
Only 1 discount may be applied to a cabin rental. Discounts may not be combined, nor can they be applied to special packages.
Pets are not permitted in or around Hidden Lake Lodge, Aspen Hollow Lodge, or Dogwood Manor. Discovery of an unauthorized pet will result in a $200 fee charged to the credit card on file.
Small dogs under 40 lbs are indeed permitted at Black Bear Hideaway for a fee of $15 per night per stay. Please inform HLC of details regarding pets at the time of booking. Renter is responsible for cleaning up after the dog(s) both inside and around the lodge. Excessive clean up charges will result for failure to clean up.
ABSOLUTELY NO FIREWORKS AND/OR FIREARMS SHALL BE SET OFF OR DISCHARGED ON THE PROPERTIES. We are near State Parks, largely wooded areas, and physically are log cabin rentals. If evidence of fireworks and firearm usage are found it will result in a $300 charge to the credit card on file. If any damage to the structure or the surrounding area is evident, you may face extended fines and/or legal action.
Smoking is NOT PERMITTED at any of our properties or in/around any wooden decking. Discovery/evidence of smoking in these areas will result in a $300 fee charged to your credit card or taken out of security deposit. Please be sure each guest understands this policy. Guests are welcome to smoke around the fire pit areas off site, but not anywhere on or near the decking/lodges.
While Hidden Lake Lodge sits on 30 acres, Aspen Hollow Lodge is on 12 acres, Dogwood Manor is on 6 acres, and Black Bear Hideaway is on over 4 acres, you may still encounter neighbors at each lodge. Please keep this information in mind when celebrating and enjoying your stays. You may receive a courtesy phone call if noise is an issue for nearby homeowners or other vacationers. Please be respectful of them, and keep noise levels to a minimum so that we are not affecting someone else’s lifestyle. We ask that you bring any excessive celebrating indoors by 10pm.
The owners are not responsible for any accidents, events, injuries, or illness that occurs while on the premises or facilities. By accepting a reservation, it is agreed that all guests are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use the premises.
EQUIPMENT AND FURNISHINGS:
Cabins may not have reliable cell service and may not have wifi. We may have a landline provided in such rentals. If there is a landline provided, local and emergency service would be available. Incoming calls may be received.
Equipment failures and problems with the unit must be reported immediately (ie: no heat, no water, etc.). Other equipment failures such as hot tubs, gas fireplace, TV, etc. should also be brought to our attention. Repairs will be made as quickly as possible. Please call either 614-226-2757 or 614-352-9495 if problems are discovered.
Hidden Lake Lodge, Black Bear Hideaway, & Dogwood Manor have charcoal grills. Bring your charcoal, matches, and lighter fluid.
Aspen Hollow Lodge and Dogwood Manor have propane grills.
Should propane run out during your stay, you may be asked to replace propane at a nearby convenience store and we will reimburse your receipt. Let us know, and text a copy of the paid receipt for the replacement.
LINENS AND SUPPLIES:
Bed linens + one bath towel/guest will be provided. Additional towels for hot tub/lake/hiking usage are not provided. Please plan accordingly: do not attempt to access locked owner’s closets and/or open linen closets for extra sheets/towels.
We provide a supply of trash bags, paper towels, bathroom tissue, dish, and hand soap. Basic kitchen utensils, dishes, pots, & pans are all provided. Have a question if something is provided/available; feel free to text/email/call us any time and we are happy to answer all of your needs.
WHAT TO BRING:
Anything you would like to eat or drink. Don’t forget condiments, napkins, foil/saran wrap, and take-home containers for your yummy leftovers.
Personal toiletry items (shampoo, conditioner, bath soap, toothpaste, clothing iron, etc.)
2 pillows are provided for each guest. Feel free to bring personal pillows for added comfort.
Extra towels for hair and old beach towels for hiking, hot tub, and/or lake usage.
Matches/newspaper for fires or fire starter for the fire places and/or fire pits. Flashlights.
Your lodge will be provided with 3 bundles of firewood at no extra charge. Should you wish to order additional bundles of firewood (at $10/bundle) to be set out for your stay, fill out the form attached to these rental policies and return within one week of your reservation.
Sorry, no refunds will be issued for unused wood bundles.
A Hocking County ordinance exists which does not allow visitors to bring in wood from outside of the area because of insects and diseases that travel in wood and can bring significant damage to our state forest. Therefore, you are only to purchase wood in Hocking County.
There are many roadside stands, convenience stores, grocery stores, etc. in the area that have cut bundles of wood for purchase ranging anywhere from $5/10 per bundle.
Wood burning fireplaces indoors are not to be used April-September.
At no time may you cut wood on the premises.
BOUNDARY/PROPERTY LINES FOR HIDDEN LAKE LODGE:
Please keep our property lines in mind while you are enjoying your stay. We have over thirty acres of gorgeous, undeveloped land surrounding this one lodge. That being said, we also have 8 abutting properties/neighbors surrounding our acreage.
Hidden Lake Lodge is situated on the northern side and corner of the acreage.
From the parking lot/fire pit, take the tree line down the hill and along the path, down to the dock, to and through half of Hidden Lake. The natural forested side of this denotes our neighboring property. Steer clear of heading through those woods to the north and to the east across the water.
We do keep a couple of kayaks under the dock for your enjoyment on our side of the lake. Use at your own risk and bring life jackets if you plan on using them. There is a cable that goes through the middle of the water also helping to denote the boundaries. DO NOT TRESPASS. Thank you for your attention. OCCUPANCY AND HOUSEKEEPING:
Check-in times begin at 4pm for all lodges. Check out is 10am for Aspen Hollow Lodge and Dogwood Manor. Check-out is by 11am of scheduled departure date for HLL and BBH. We cannot accommodate early check-in and/or late check-out times. Please be respectful of these times noted. If there is a delay in checking out with our cleaning/maintenance crews waiting, you may be charged $100 fine as we are doing our best to prepare for our next guests in the short time provided.
Please limit occupancy to what is posted on individual cabin descriptions/occupancy.
Our occupancy rates apply and you will be charged per person or entire party will be asked to leave with no refunds if additional people are discovered. Only those registered members of your party are permitted access during your stay.
Hot tub covers must remain on the hot tubs when not in use.
Please do not leave loose trash in/around the outdoor receptacles or remaining in the lodge(s) or a $75.00 clean-up charge will apply. All trash must be tied neatly in bags and placed in outdoor receptacles.
Hidden Lake Lodge’s garbage must be removed from bins and deposited in the dumpster at the top of Grossman Road at the end of your stay. Nothing remaining in outdoor receptacles. The $75 clean up fee will be applied to card/deposit if any garbage remains on site.
Aspen Hollow Lodge’s garbage must be removed from bins and deposited in the dumpster at the base of the driveway near the mailbox at the conclusion of your stay. Nothing remaining in outdoor receptacles. The $75 clean up fee will be applied to card/deposit if any garbage remains on site.
Black Bear Hideaway and Dogwood Manor guests may leave garbage neatly tied in bags in outdoor receptacles at end of stay.
View the check-in/check-out instructions email which you will have received 30 days prior to your stay for full understanding of what is required when vacating the premises. Leave the kitchen clean and lock all windows and doors. Set thermostat(s) as requested on check out documents. We ask that keys be returned to the lockbox at check-out. Lost keys are subject to a $75.00 replacement charge.
Hot tubs should not be used at temperatures greater than 104. Switches to increase or decrease the jet speed may be adjusted. No other settings should be adjusted. We will not issue any refunds for hot tub failures or for the rare instances of inability to use during your stay.
Our hot tubs are routinely changed and continuously sanitized. Hot tubs left excessively dirty may be subject to a $100 clean-up charge.
Guests that are staying 3 or more nights may be contacted to have a staff member check their hot tub chemicals.
Do not sit on hot tub covers. This can break and damage the lid. Damage to hot tub covers will result in a $400.00 replacement fee.
Use of the hot tub(s) is entirely at the risk of all guests. Please note that the hot tubs are balanced and chemically sound (but may not warmed up fully) at the time of your check-in, and any issues arising from a result of improperly-used hot tubs is the solely the renter’s responsibility. We can not be held responsible for the treatment and usage during your stay resulting in any skin irritations, infections, etc. Enter at your own risk.
GLASS IS NOT PERMITTED IN/AROUND THE HOT TUB(S). Please plan accordingly by bringing disposable cups and/or cans. If evidence of glass is found in/around the hot tubs, it will result in a $200 clean-up charge.
DAMAGE BY GUESTS:
In the event of damages or extra cleaning requirements created by guests, additional charges may be applied to the security deposit and/or credit card on file with our office.
WILDLIFE AND PESTS:
While we routinely treat our cabins, we are in the middle of the woods and it is likely that you will encounter insects, spiders, or critters during your stay. We cannot refund your reservation if you encounter this during your stay. Many critters live in the woods. Do not approach or feed wildlife, leave food on decks or porches, or leave garbage out as it may invite unwanted guests. We will not issue refunds due to visitation from such wildlife and/or pests.
PLEASE FORWARD THESE POLICIES ONTO ANY MEMBERS OF YOUR PARTY FOR FULL UNDERSTANDING BY ALL GUESTS. FAILURE TO FOLLOW THESE SIGNED POLICIES WILL RESULT IN DEDUCTIONS FROM THE SECURITY DEPOSIT AND/OR FEES CHARGED TO THE RENTER’S CREDIT CARD ON FILE.
